Personalization Policy and Procedure — Fluye Bottle (EU)

1) Scope and channels

This policy applies to all customization of Fluye products (laser engraving, screen printing, pad printing, UV printing or other duly communicated techniques) carried out through:

  • B2C: individual orders through our enabled online channels.
  • B2B/Corporate: orders from companies, NGOs, clubs, institutions or events.

Minimum order quantities (B2B)

  • Customization on Fluye stock: minimum 10 units per reference (unless expressly authorized by Fluye).
  • Projects manufactured “from scratch” (special colors/finishes, dedicated packaging): minimums and deadlines tailored to your needs.
2) Client-submitted content — Rules and moderation

By uploading or submitting designs (logos, texts, images, signatures, portraits, etc.), you declare and guarantee that:

  1. You have the necessary rights and authorizations.
  2. It does not infringe copyrights, trademarks, patents, trade secrets, or image or privacy rights.
  3. It does not contain: defamatory, insulting or hateful language, incitement of violence, pornography, discrimination, political campaigning, or promote illegal activities.
  4. Comply with applicable laws and our brand and community standards.

Right of review and rejection:


Fluye may review and partially or completely reject designs that do not comply with this policy or the technical requirements. In such cases, we will notify you and arrange alternatives or a refund as appropriate.

3) Personal data in the design

If your design includes personal data (e.g., name, signature, photograph, initials, team identification), you confirm that you have valid consent from the individuals involved to process this data solely for the purpose of producing the order, providing after-sales service, and ensuring traceability. We retain the files only as long as strictly necessary for quality assurance and to address potential claims. You can exercise your data protection rights by contacting our privacy channel, which is listed on the website.

4) Technical specifications of files
  • Accepted formats: PDF, AI, PNG, JPG.
  • Recommended style: high-contrast line/curve art. For engraving, black and white is preferable.
  • Maximum size: 30 MB per file.
  • Sources: convert to curves.
  • Binarization: We optimize for high contrast when applicable.
  • Color photos or complex shading are not accepted for standard laser engraving.

Note: The equipment may adjust the size/position of the design to ensure an optimal result according to curvature, engraving windows, and machine tolerances.

5) Workflow and approvals

5.1 B2C (individual orders)

  1. Upload the file to the indicated module or send it by email when appropriate.
  2. Technical validation: we confirm the viability of the file.
  3. Production: We carry out the engraving following best practices.
  4. Quality and shipping: final inspection and dispatch.

Previews: For B2C, we do not offer renders or previews. You can choose the position from the available options; the final size is determined by the technical team to ensure quality.

5.2 B2B/Corporate

  1. Brief: model(s), quantity, technique, deadlines, logo usage and brand guidelines.
  2. Art: We welcome editable files and Pantone palettes when applicable.
  3. Proposal and quotation: details of costs, MOQ, deadlines, and conditions.
  4. Digital mockup: 1 round of art included (additional changes may incur a cost).
  5. Approval: art OK signature + purchase order.
  6. Production: scheduled after payment/advance according to quote.
  7. QC + dispatch: batch control and delivery.

Physical samples: available upon request, with additional cost and lead time. Variations from the final batch may exist due to industrial tolerances.

6) Production and delivery times
  • Customizable production on stock: 2 to 5 business days from technical validation and, in B2B, from artwork approval and payment/advance. This may be extended depending on volume/workload.
  • Special projects/factory: customized deadlines.
  • Shipping time is added to production time. Logistics times depend on the destination and carrier.

During peak seasons or due to logistical issues, delivery times may vary. We will keep you informed.

7) Changes, cancellations and refunds
  • Once the artwork (B2B) has been approved or the order has been confirmed (B2C), it is not possible to change or cancel the design.
  • Personalized products are exempt from the 14-day right of withdrawal.
  • If the item arrives with a manufacturing defect or an error attributable to Fluye, we will repair, replace, or refund according to technical evaluation.
8) Technical and visual tolerances
  • There may be reasonable color variations from the screen images due to device settings and lighting.
  • The size and position of the engraving/print may vary slightly depending on curvature, textures, and grip.
  • The photos on the website and mockups are for illustrative purposes only.
9) Usage licenses and portfolio

By sending us your content, you grant us a non-exclusive, royalty-free license to reproduce, adapt, and use the files for the purposes of manufacturing your order, providing after-sales support, and ensuring traceability.

Portfolio: We may display anonymized images of the finished product on our channels as a success story, unless you request otherwise before manufacturing. Submitting branded assets implies that you have authorization from the brand owner for these uses.

10) Liability and compensation
  • You are responsible for the accuracy of the content submitted and for having the necessary licenses.
  • You will indemnify us for third-party claims arising from the use of your content that infringes rights or laws.
  • Our total liability for any order will not exceed the amount actually paid for that order, except in cases of fraud or gross negligence.
11) Warranty and after-sales service
  • Legal guarantee of non-conformity in force according to the regulations of the destination country in the EU.
  • It does not cover normal wear and tear, impacts, misuse, or cleaning contrary to the manual.
  • To activate warranty: order number, photos/videos and description of the case.
12) Intellectual Property Flows

Fluye's trademarks, product designs, patterns, graphics, and photographs are owned by us or third-party licensors. Their use outside the scope of this policy is not permitted without express written authorization.

13) Visual Examples — Customizations Flow

Fluye Bottle reserves the right to accept, reject and/or modify the image to ensure a quality result in all products.

14) Prices and conditions
  • We quote in euros, including taxes where applicable.
  • Prices and promotions may vary by country/channel.
  • For B2B, we may require an advance payment to schedule production.
  • Unforeseen variations (e.g., second artwork, redo due to file change, additional packaging) are quoted separately with your prior approval.
